Hiring Conditions (v 28.10.24)

Booking the hall

  1. Goonhavern Hall is run by a team of volunteers for the benefit of the local area and is a registered charity, therefore we ask for your kind support in adhering to these conditions to ensure we can continue to offer this resource for all.

  2. All our reservations/bookings are provisional until they have been confirmed via email and payment has been received.

  3. One-off hires: full payment is due within 7 days of receiving the invoice. Please use the invoice numbers as a reference.

  4. Regular hires (following agreement with the Bookings manager) will be invoiced monthly and full payment is required within 7 days of the invoice date. Please ensure you use the invoice numbers as a reference when making your payment. Please note, we reserve the right to cancel all upcoming bookings if payment is not received within 14 days of the invoice date.

  5. It is essential that your hire time includes time for set up and clear away as your door lock code will be set for these times.

  6. Cancellation charges – all bookings (regular and one off)  - full payment is due if cancelled within 7 days or less of the booking date.

  7. The latest version of these conditions are available on our website, if there are material changes they will be re-issued via email to all regular users. Continued use/hiring of the hall will be considered as acceptance of these conditions.

Using the hall

  1. Please report any issues with the hall i.e. damage/something not working at the start of any hire period.

  2. All hirers agree to pay for any damage that may occur during the period of hire. Please report any damage asap.

  3. The hirer is responsible for the proper and orderly use of the hall and for leaving it in a clean and tidy condition putting chairs, tables, kitchen equipment and anything else used back in its correct place. Please also ensure you check the toilets are left clean and tidy.

  4. Please ensure you take your rubbish away with you, as to keep costs low we don’t have a rubbish collection.

  5. After using the hall, please ensure all lights and electrical appliances (except for the Fridge) are switched off. Please also double check that ALL doors and windows are closed and locked.

The Legal Stuff

  1. The hirer must be 18 years or above and present in Goonhavern Hall during the hire to ensure the adherence by all persons using the hall to these conditions.

  2. Hirers are responsible for the Health and Safety at their event/activity and must not do anything that jeopardises the Health and Safety of other hall users. Any accident/incident must be reported asap to Izzy on 07429333595.

  3. The hall hirer is responsible for the safe evacuation of their people in the event of a fire and fire doors and escape routes must be always kept clear. In the event of a fire please call 999 and then contact Izzy on 07429333595.

  4. The right to refuse any application for the hire of the hall or to refuse admission to any individual without assigning any reason is reserved to the Committee or to the Chairperson and or Bookings manager acting on their behalf, provided they report their action to the next meeting of the committee.

  5. Goonhavern hall accepts no responsibility for any stored equipment or other property brought on or left at the premises and all liability for loss or damage is hereby excluded. Please request permission from the Bookings manager if you wish to leave/store any item in the hall.

  6. Food safety is the sole responsibility of the hirer.

  7. Public Liability – all businesses/charities and clubs/organisations require their own public liability insurance since the halls’ insurance only covers any incident/accident that relates to a fault with the building or its equipment. Other individuals use the hall at their own risk.

  8. All clubs, charities and businesses need to ensure they have the appropriate governance and policies including safeguarding in place. Adherence to these policies is the responsibility of the hirer.

  9. Music Licence – the hall holds a PRS music licence which covers the streaming of music by the public. However, any commercial organisations or events run for financial benefit require their own PRS licence.
